1. Who we are and what this policy covers

CivVision (“CivVision”, “we”, “us” or “our”) operates the CivVision mobile application, civvision.com and connected construction services. CivVision is the app and developer name used throughout this policy. For privacy questions or requests, email info@civvision.com.

This policy covers data handled through our app, website, project workspaces, customer support and related services. A project owner, contractor, architect, vendor or employer may also control information they add to a shared workspace. Their own notices and contractual responsibilities may apply to that information.

2. Data we collect

What we collect depends on your role, the features you choose and the permissions you grant. We may collect or process the following categories:

Provide construction planning, procurement, progress, quality, commercial-control and audit-history features.
Content and communications Messages, notes, support requests, voice-log text, prompts, answers, photos, videos, audio, drawings, PDFs, spreadsheets and other files you upload. Enable collaboration, evidence, document management, support and requested AI-assisted features.
Location and capture metadata Approximate or precise location, time, project/site association and metadata attached to a check-in or site photo. Verify a site check-in or evidence item when you actively use a location-enabled feature.
Device, app and usage Device or app identifiers, platform and app version, language, notification token, network/IP information, feature interactions and preference settings. Operate the app, sync data, send requested notifications, prevent abuse and understand product usage.
Diagnostics Crash reports, performance information, error details and related technical context. Keep the service reliable, diagnose failures and improve security and performance.

We receive data directly from you, automatically from your device and from authorised project participants who invite you, assign work or add information to a shared project. Please do not upload data you are not authorised to share.

When you use a website project-enquiry form, the name, mobile number, site location, approximate built-up area and calculator summary you enter are placed into a WhatsApp message on your device. CivVision does not receive those details unless you review and send the message. After you send it, WhatsApp and Meta handle the communication under their own terms and privacy notices.

3. Device permissions

CivVision asks for a device permission only when it is needed for a feature. Depending on your device and the feature used, this may include:

  • Camera to capture new site evidence when you choose the camera action.
  • Selected photos and videos to attach existing site evidence. On Android, CivVision uses the system Photo Picker and receives access only to the items you select; it does not request broad access to your media library.
  • Selected files to attach drawings and project documents through the device's system file picker.
  • Microphone and speech recognition to record video audio or convert a voice log to text.
  • Approximate or precise location to verify a site check-in or location-stamped update.
  • Notifications to deliver project, reminder and account alerts you have enabled.

You can deny or later revoke optional permissions in your device settings. The related feature may then be unavailable, but unrelated app functions should continue to work.

4. How we use data

We use personal data to:

  • provide, maintain and personalise the CivVision service;
  • authenticate users and apply role- and project-based access controls;
  • store, organise and share project records with authorised participants;
  • support planning, bidding, estimation, procurement, progress, quality and handover workflows;
  • send service messages, security notices, notifications and user-requested reports;
  • respond to support, privacy, access, correction and deletion requests;
  • measure performance, troubleshoot crashes and improve features;
  • protect users, projects and CivVision against misuse, fraud and security threats; and
  • meet contractual and legal obligations and resolve disputes.

Depending on the context and applicable law, we process data to provide the service you request, with your consent for optional permissions, for legitimate service and security interests, and to comply with legal obligations.

5. AI-assisted features

Some CivVision features use Google Gemini or another clearly identified generative-AI service to analyse the prompt, project details, image or document you choose to submit. The selected input and necessary context are transmitted to that service to produce the requested output. Do not submit passwords, one-time codes, payment-card details or unrelated confidential personal data in an AI prompt.

AI outputs can be incomplete or inaccurate and do not replace an authorised architect, structural engineer, safety professional, legal adviser or human project approval. Provider handling may vary by the service configuration in the released app; our Play Data safety declaration and this policy must be updated if that configuration changes.

6. When we share data

We may disclose data only as needed to:

  • Authorised project participants—for example a homeowner, contractor, architect, vendor, enterprise owner or administrator—according to role, permissions and project membership.
  • Service providers that host, secure, analyse or deliver the service. Current app integrations include Google Firebase services such as Authentication, App Check, Cloud Messaging, Storage, Crashlytics and Analytics, and Google Gemini when you use an AI-assisted feature.
  • User-selected communication services, such as WhatsApp, when you choose that channel to send a project enquiry or communicate with CivVision.
  • Professional advisers, authorities or other parties when reasonably necessary to protect rights and safety, investigate abuse, comply with law, enforce an agreement or complete a business reorganisation.

Service providers process data for the contracted service and are subject to their terms and safeguards. Data may be processed outside your state or country where those providers operate. CivVision does not sell personal data for money and does not use project data for third-party behavioural advertising. CivVision does not request or collect the Android Advertising ID; Firebase Analytics is configured without Advertising ID collection and with advertising personalisation signals disabled by default.

7. Retention and deletion

We keep data only for as long as reasonably needed for the purposes described here. Retention depends on the category and context:

  • account and profile data is generally kept while the account is active;
  • project content may remain for the project lifecycle and any agreed record-keeping period;
  • security, diagnostic and support records are retained for a limited operational period;
  • contract, invoice, transaction, dispute, fraud-prevention or legal-compliance records may be kept for the period required by applicable law or legitimate claims; and
  • backup copies are isolated from normal use and removed or overwritten on the applicable backup cycle.

When data is no longer required, we delete it, de-identify it or restrict it from ordinary use. Shared construction records may need to remain for other authorised participants or for contractual, safety, financial or legal record-keeping. In that case, we remove or minimise your account identifiers where reasonably possible and retain only what is necessary.

8. Your choices and requests

Subject to applicable law and appropriate verification, you may ask to access, correct, export or delete your personal data, object to or restrict certain processing, or withdraw consent for optional processing. You can also:

  • update available profile details in the app;
  • change app notification and sync preferences;
  • revoke device permissions in system settings;
  • request an export from Profile → Settings → Export My Data; and
  • request account deletion from Profile → Settings → Delete account and data, or use the public deletion page.

Email info@civvision.com for any privacy request. We may verify that you control the registered email address or mobile number before acting. We will never ask for your password or one-time code.

9. Security

We use reasonable administrative, technical and organisational safeguards appropriate to the nature of the data, including authenticated access, role-based project permissions, protected transport and restricted service access. No internet or storage system is completely secure. Protect your credentials, use a secure device and tell us promptly if you suspect misuse.

10. Children

CivVision is a construction and business service and is not directed to children under 18. We do not knowingly create accounts for children. If you believe a child has provided personal data, contact us so we can investigate and delete it where appropriate.

11. Changes to this policy

We may update this policy when the product, service providers or legal requirements change. We will publish the revised policy at this same stable URL, change the “Last updated” date and provide an in-app or other notice when a change materially affects your rights or how data is used.
